1. APPLICATION

1.1. These terms apply to production services supplied by Artisan Productions Ltd trading as Hatton Rock (“Hatton Rock”, “we”, “us” or “our”).

1.2. Services may include concert production, touring, theatre, church conferences, live performances, technical design, equipment, audio, lighting, video, staging, technical crew, transport and associated production services.

1.3. The “Client” is the promoter, production company, tour operator, artist representative, venue or other contracting party.

1.4. Hatton Rock may be contracted to provide complete technical production or individual departments.

1.5. Expressly agreed provisions in an accepted quotation, touring agreement or signed contract take precedence over conflicting standard terms.

2. QUOTATIONS AND CONTRACT FORMATION

2.1. Quotations are based on the technical specification, rider, itinerary, event dates, venue information, working hours and production requirements provided.

2.2. Equipment and personnel remain subject to availability until a booking is confirmed.

2.3. A contract is formed when the Client accepts the quotation and Hatton Rock confirms acceptance in writing.

2.4. Acceptance may be made by signed quotation, email or an agreed electronic approval process.

2.5. Material changes to venues, dates, routing, technical riders, crew or production requirements may result in revised charges.

2.6. The Client confirms that the person approving the booking has authority to enter into the agreement.

3. PAYMENT

3.1. All prices exclude VAT unless stated otherwise.

3.2. For bookings of £25,000 or less excluding VAT, a deposit of 25% is payable on confirmation.

3.3. For bookings exceeding £25,000 excluding VAT, a deposit of 50% is payable on confirmation. This replaces the standard 25% deposit.

3.4. The remaining balance is due no later than seven calendar days before the first scheduled production date, including preparation or installation dates where applicable.

3.5. Multi-date tours, production companies and approved trade clients may be offered alternative staged payments or credit terms by written agreement.

3.6. Hatton Rock may recover statutory late-payment interest, compensation and reasonable recovery costs on qualifying overdue business debts.

3.7. Material failure to pay may result in suspension of unperformed contractual services following appropriate notice, where permitted by law.

4. CANCELLATION

4.1. Cancellations must be provided in writing.

4.2. The standard cancellation schedule is:

• More than 365 days before the first contracted production date: no percentage-based cancellation charge, excluding reasonably incurred non-recoverable costs.

• 365 to 181 days: up to 40% of the agreed fee.

• 180 to 91 days: up to 60%.

• 90 to 31 days: up to 80%.

• 30 days or fewer: up to 100%.

4.3. These percentages are subject to the Company’s legitimate contractual loss, including properly committed costs and recoverable loss of profit, after reasonable mitigation, costs saved and recoveries.

4.4. The percentages are not automatic penalties.

4.5. For touring or multi-date productions, cancellation calculations shall consider the affected dates, shared production commitments, mobilisation and demobilisation arrangements, crew, equipment and transport costs.

4.6. Deposits and other payments shall be credited against the amount lawfully due, with any excess refunded.

4.7. Any separately negotiated cancellation arrangements shall be confirmed in writing.

5. TOURING SCHEDULES AND CHANGES

5.1. The Client shall provide accurate tour routing, venues, schedules, production contacts and access information.

5.2. Material amendments to dates, show times, rehearsal schedules, transport routing or technical requirements must be communicated promptly.

5.3. Hatton Rock shall assess the effect of changes on crew, equipment availability, logistics and associated costs.

5.4. Additional mileage, transport, accommodation, staffing, preparation or other costs may be chargeable where reasonably incurred and contractually recoverable.

5.5. The Client must provide the venue and production contacts necessary for effective coordination.

6.4. Material deviations from the agreed specification shall be discussed with the Client.

6.5. Additional technical requirements arising after confirmation remain subject to availability and may require additional charges.

7. VENUE FACILITIES AND ACCESS

7.1. The Client shall ensure each venue provides the agreed stage space, loading access, power infrastructure, structural facilities and working conditions.

7.2. Relevant noise restrictions, rigging capacities, venue rules, access limitations and technical restrictions must be disclosed in advance.

7.3. Unless expressly included within Hatton Rock’s scope, the Client is responsible for securing venue permissions, event licences, performance approvals and relevant facilities.

7.4. Loading areas, suitable parking, equipment storage and security arrangements must be provided as agreed.

7.5. Additional costs caused by materially inaccurate venue information or unavailable access may be recovered where reasonable and lawful.

8. CREW AND WORKING HOURS

8.2. Crew hours are based on the agreed production schedule.

8.3. Delayed loading, additional rehearsals, late running, extended performance times or delayed dismantling may incur additional charges.

8.5. Overnight accommodation, travel arrangements and subsistence responsibilities shall be agreed where applicable.

9. EQUIPMENT AND SECURITY

9.1. Equipment remains the property of Artisan Productions Ltd or its suppliers.

9.2. Equipment must be operated and handled only by authorised personnel, except under an expressly agreed equipment-only arrangement.

9.3. The Client shall provide appropriate security where equipment remains installed or stored outside supervised operating periods.

9.4. The Client may be liable for loss or damage resulting from negligence, misuse or breach of contract, subject to applicable law.

10.2. Appropriate weather protection, power infrastructure, site conditions and security must be provided as agreed.

10.3. Hatton Rock may suspend installation, operation or dismantling where weather or other conditions create unacceptable safety risks.

10.4. Such decisions shall be based on reasonable technical and safety assessments.

10.5. Weather-related cancellations, postponements and associated financial arrangements shall be determined by the applicable contract and law.

11. SPECIAL EFFECTS
